Executive Assistant

We’re looking for someone who can help the founder stay on top of meetings, hiring and the things people have agreed to do. You’ll keep the details organised, follow up when something needs attention and make sure the next step is clear without needing to be reminded each time.

COMMITMENT

We expect to start with 2–4 hours per week, with priorities agreed each week so the time is used well.

LOCATION

You can work remotely by agreement, with some availability during Irish working hours for scheduling and quick check-ins.

ENGAGEMENT

This is paid part-time support, and we’ll agree the work involved, hours and fee before you start.

What you’ll work on

  • You’ll keep a shared list of what needs to happen, who is responsible and when it is due, so commitments are easy to follow up.
  • You’ll arrange interviews and meetings, make sure people have the information they need and follow up on the actions agreed afterwards.
  • You’ll keep candidate records and working documents up to date, making them easy to find when someone needs them.
  • Each week, you’ll give the founder a short update on what is moving, what is overdue and which decisions need his attention.

What we want to achieve first

  • The founder should be able to see what has been agreed and what happens next, without having to remember every detail or chase every update.
  • Candidates and collaborators should receive accurate meeting details and timely follow-up, with fewer things left unclear.
  • A simple weekly routine should make it easier to decide what matters next and deal with anything that is holding up the work.

The experience we’re looking for

  • You have supported a founder, executive or small team and can give an example of how you kept their work organised.
  • You write clear, accurate English and take the time to check names, dates and other details before acting.
  • You treat confidential information carefully and ask for clarification when an instruction or commitment is unclear.
  • You can decide what needs attention first within a few hours each week and reliably follow through on the work you take on.

Other experience that could help

  • Experience arranging interviews or keeping recruitment records would be useful, although you do not need an energy background.
  • It would help if you’re comfortable with everyday collaboration and automation tools and know when their output needs checking.

How we’ll get started

  1. Start with a short application and an example of how you helped someone keep on top of their work.
  2. If there’s a potential fit, we’ll talk about your experience, how you like to work and the time you have available.
  3. The next step is a small paid exercise with a time limit agreed in advance, followed by reference checks with your permission.
  4. If we decide to work together, we’ll begin with a paid trial and agree the weekly responsibilities, hours and fee before it starts.

As we prepare Vardane’s first service in Ireland, you’ll work directly with Leon Kennedy and help turn your experience into practical work that the team can understand and build on.
